The Real Cost of Manual Work
Every hour you spend on repetitive tasks is an hour you're not growing.
Leads fall through the cracks
Someone fills out your form on a Friday. By Monday they've already called your competitor. Manual follow-up is too slow — and too easy to forget.
Data entry is eating your day
Moving information from one system to another — CRM, spreadsheets, invoices, email — is low-value work that doesn't need a human. It needs a workflow.
Nothing talks to anything
Your booking tool doesn't update your CRM. Your CRM doesn't trigger your email sequence. Your invoices don't connect to your reports. Every gap is manual work.
What We Automate
If you're doing it the same way every time, it can probably be automated.
Lead Follow-Up
New form submission → instant confirmation email → CRM entry → reminder to call → follow-up sequence. All of it, automatic, the moment someone reaches out.
Appointment Reminders
Booking confirmed → calendar invite → reminder 24 hours out → reminder 1 hour out → post-visit follow-up. Fewer no-shows, less manual chasing.
Invoice & Payment Workflows
Job complete → invoice generated → sent to client → payment received → receipt sent → accounting updated. Close the loop without touching it.
Internal Approvals
Request submitted → routed to the right person → approved or flagged → next step triggered automatically. No more chasing people down for sign-offs.
CRM Data Entry
Contact info from forms, emails, or calls → automatically logged in your CRM with the right tags, fields, and pipeline stage. No copy-paste, no missing records.
Reporting & Notifications
Weekly summary of leads, jobs, or revenue → sent to your inbox every Monday morning. Know your numbers without pulling a report manually.
How It Works
Three steps from manual to automatic.
Map
We start with a workflow audit — a conversation about what you're doing manually, how often, and what systems are involved. We identify what's worth automating first and sketch the logic before touching any tools.
Build
We build and test the automation using n8n or Zapier depending on what fits your stack. You get to see it working before it goes live — and we handle edge cases so it doesn't break on unusual inputs.
Hand Off
You get a walkthrough call, plain-English documentation, and full ownership of the workflow. No ongoing dependency on us — though we're available for updates or new automations when you're ready.
The Tools
Built on platforms that don't disappear.
Open-source automation platform we self-host on our own server — so you get enterprise-grade workflows without a $20–50/mo SaaS bill. We run your instance, handle updates, and monitor for failures. You just use it.
The most widely supported automation platform with 6,000+ app integrations. Best for straightforward app-to-app connections where speed of setup matters and the workflow stays simple. Client manages their own account.
Broad app support · Fast setup · Simple connectionsMost clients end up on n8n — the hosting savings alone typically pay for the setup fee within a few months. Make is also available when it fits.
Real Example
How YouFirst SEO follows up with every lead in under 3 minutes — without lifting a finger.
When someone submits an audit request on this site, they're evaluating whether to trust an SEO agency. Speed signals competence. A same-day email is fine; a 3-minute automated audit report is something else entirely. Manual follow-up couldn't match that.
This is the same automation stack we build for clients — not a demo, not a hypothetical. You're interacting with it every time you submit the audit form on this site.
Better Together
More traffic only helps if you capture every lead.
SEO brings people to your site. Automation makes sure no one slips through. When a lead fills out your form at 11pm, they shouldn't have to wait until you check email tomorrow morning — and with the right workflow, they won't.
As a client, you can bundle SEO and automation into a single engagement. One contact, one strategy, no coordination overhead between vendors.
Common Questions
What people ask before getting started.
What tools do you use?
Primarily n8n and Zapier. n8n is best for complex workflows and self-hosted setups — it has no per-task pricing, which matters at volume. Zapier covers most straightforward app-to-app connections and has the widest integration library. We recommend based on your workflow, not our preference. Make is available when it's the right fit.
Do I need technical skills to maintain this after setup?
No. Every workflow comes with plain-English documentation and a walkthrough call. Most automations run indefinitely without any attention. If something breaks or a connected app changes its API, we're available to fix it — but in practice most workflows just run.
How long does setup take?
Simple automations (single trigger, one or two actions) take 3–5 business days including testing. Multi-step workflows with conditional logic typically take 1–2 weeks. We don't rush — a workflow that fails in production is worse than one that takes an extra week to build right.
How is this priced?
One-time setup fee based on complexity, plus an optional $10/mo if we host your n8n instance. No per-task charges, no usage tiers — your workflows run as many times as needed for the same flat fee.
Most small business workflows land in simple or medium. The workflow audit is where we figure out which tier you're in — bring your process and we'll scope it honestly.
What kinds of problems are actually worth paying to automate?
A useful rule: if you're doing the same sequence of steps more than a few times a week, it's worth looking at. Common ones we see with small businesses:
- Following up on every new lead within minutes — not when you remember to check email
- Moving contact info between your booking tool, CRM, and email platform without copy-pasting
- Sending appointment reminders and follow-ups automatically so no-shows drop
- Getting notified the moment a payment clears, a review comes in, or a form is submitted
- Generating a weekly summary of leads, revenue, or jobs without pulling reports manually
- Routing new inquiries to the right person or pipeline based on how they came in
If any of those sound familiar, it's worth a conversation.
Can you automate something specific to my industry?
Probably. If the process is repeatable and involves software tools, it can almost certainly be automated. The workflow audit is where we figure that out — bring your specific process and we'll tell you what's possible and how long it takes.
